JOB DESCRIPTION: EARTHLIGHT MAGAZINE OFFICE MANAGER
Please Note: This position is an exciting opportunity to work in
partnership with the Executive Editor / Director and the magazine
Board of Directors to assist with developing a visionary publication
which advocates for the well-being of the Earth Community and future
generations into an even more powerful voice for social change. As
the magazine develops and grows, so will this job position. We are
looking for someone who wants to grow in the position and with the
magazine and has an interest in the multiple, often fascinating,
facets of magazine publishing. Our editorial advisors are among the
most leading edge visionaries in the growing movement for a
spiritually and ecologically based culture.
Mission of the magazine
EarthLight magazine's mission and focus is
to cultivate the awareness that Earth is a sacred community of life
to be cherished, protected, and restored, not a commodity to be
exploited. We seek to catalyze the personal and global consciousness
required to ensure a healthy Earth for future generations. There are
three primary avenues through which EarthLight Magazine does this:
1) by publishing articles, interviews, resources, and reviews
which advocate a shift away from an exclusively human-centered
worldview toward a heightened experience and consciousness of our
interconnectedness and the sacredness all life;
2) by educating people to see the relationship between our
spiritual lives and the planetary ecological crisis; and
3) by encouraging conscious, sustainable living in an
evolutionary Universe through which people might live simply and
with wisdom and ecological integrity.
We see spiritual ecology, the focus of our quarterly, as a profound
and empowering approach to the alienation and destruction brought by
a worldview that sees humans as separate from the whole.
Job Summary
Responsible for the day-to-day operations of the
office. Maintains and supervises updates of the database for
subscribers, publishers, advertisers, and donors. Provides clerical
support for the office including answering telephones, faxes, and
emails. Responds to subscriber requests including performing
database inquiries and fulfilling subscriptions. Maintains the
advertising log and bills for advertisements placed. Produces
regular statistical reports and special reports as requested by the
Executive Director and members of the Board of Directors. Processes
subscriptions and checks received and transmits them to the
bookkeeper. Perform related correspondence as necessary.
Job Duties
Many of the details of the following job
responsibilities will be met by the Office Manager through the
supervision of a part time office assistant and volunteers.
1. Maintain on computer the mailing and membership list of
EarthLight Magazine. Supervise all data entry into the mailing and
membership database by part time personnel and volunteers.
2. Handle all aspects of member and customer orders, including the
filling of orders via mail, phone, and email communication.
3. Prepare labels, hard copy lists, files, and other reports and
summaries of the data.
4. Arrange for labels to be affixed to the magazine and for copies
to be mailed to all subscribers upon publication.
5. Assist the Editor to assemble and send direct mail promotional
materials for the magazine.
6. Assist in sending out renewal notices in a timely manner. Prepare
status reports on the subscription list and responses to promotions.
7. Work with the EarthLight Board and the Board of Directors to
solicit and oversee the work of volunteers for mailing parties and
other work in promotion and distribution of the magazine.
8. Answer routine subscription correspondence and inquiries.
Supervise the filling of orders for single copies, back issues, and
special offers made available through the magazine.
9. Prepare logs of incoming checks and send these to the Treasurer
in a timely manner.
10. Procure supplies as necessary for this work, submitting bills to
the Editor for approval, whence they will be sent to the Treasurer
for payment.
11. In all ways seek to minimize the expenditures of the magazine
while wisely using Earth's resources in the areas of promotion,
publication, and mailing.
Job Requirements
High level of attention to detail and accuracy needed. Ability to
use computer especially FileMaker Pro and Word. PageMaker,
Photoshop, Excel a plus. Knowledge of MacIntosh environment
preferred. Familiarity with email is essential.
NOTE: Familiarity with and interest in issues and ideas related to
the interface of spirituality and ecology is a big plus. Working for

Salary and Benefits
As of January 2003, $12.50 per hour for the first three months,
$15.00 per hour after three months. Subsequent raises negotiable.
Position is 32 hours per week and calculated on an hourly basis.
Hours are reported on a monthly basis and paycheck is issued on the
first business day of the following month.
$200 per month for health care premium reimbursement, after first
three months.
Reporting Relationships
Position reports to the Executive Director/Editor. Incumbent
supervises a part time office assistant and volunteers in various
capacities.
Initial Review and Annual Evaluation
There will be an initial probationary period of three months. At
the successful conclusion of that time, the health care premium
reimbursement will begin.
Incumbent will receive a job evaluation annually at the anniversary
of date hired.
